Privacy Policy

Effective Date: July 29, 2026

1. Introduction

Shinsei Systems Group Inc. ("Shinsei," "we," "us," or "our") is committed to protecting the privacy of individuals who visit our website (the "Site") or contact us through it. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices available to you. This policy is designed to align with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy law.

By using this Site, you consent to the collection and use of information as described in this Privacy Policy.

2. Who We Are

Shinsei Systems Group Inc. is a federally incorporated management consulting firm based in London, Ontario, Canada.

Contact: info@shinseisystems.ca

Privacy inquiries: privacy@shinseisystems.ca

3. Information We Collect

We collect personal information only when you voluntarily provide it to us, primarily through our contact form. This may include:

  • Name
  • Email address
  • Organization or company name
  • Phone number (optional)
  • The content of any message you send us

We do not intentionally collect sensitive personal information (such as health, financial, or government identification information) through this Site, and we ask that you not include such information in any message you send us.

We may also automatically collect limited technical information through our website hosting and analytics provider (such as browser type, device type, and general usage patterns), where enabled. See Section 7 below.

4. Why We Collect It

We collect personal information for the following purposes:

  • To respond to inquiries submitted through our contact form
  • To communicate with prospective and current clients about our services
  • To understand general usage of our Site in order to improve it

We do not use your information for any purpose other than those stated above without first obtaining your consent.

5. How We Use and Disclose Your Information

We do not sell, rent, or trade your personal information to any third party. Your information may be shared with:

  • Service providers who help us operate our business (for example, our website hosting provider and email provider), solely for the purpose of providing those services to us
  • As required by law, regulation, or valid legal process

6. Storage and Cross-Border Transfer

Our website is hosted using third-party infrastructure (currently Webflow, Inc.), and our email is hosted through Microsoft 365. As a result, your personal information may be stored or processed on servers located outside Canada, including in the United States, and may be subject to the laws of those jurisdictions, including lawful access by foreign authorities. By submitting information through this Site, you acknowledge this possibility.

7. Cookies and Analytics

Our Site does not currently use website analytics tools. We may introduce analytics functionality in the future, potentially through our website hosting provider's built-in tools (currently Webflow, Inc.), to understand aggregate visitor behaviour (for example, pages viewed or time on site). Should we do so, this Section will be updated accordingly, and any such tools would not identify you personally unless you have separately provided us your contact information. Our Site may also use cookies or similar technologies necessary for basic site functionality. You can control cookies through your browser settings.

8. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required by law. As a general guideline, contact form submissions and related correspondence that do not lead to a client engagement are retained for up to twenty-four (24) months from the date of last contact, after which they are securely deleted. Information related to an active or completed client engagement is retained for the period specified in the applicable signed agreement, or as otherwise required by applicable legal, accounting, or regulatory obligations.

9. Your Rights

Under PIPEDA, you have the right to:

  • Know what personal information we hold about you
  • Request access to that information
  • Request correction of inaccurate information
  • Withdraw consent to our continued use of your information, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent does not affect the lawfulness of any use or disclosure that occurred before you withdrew it.
  • Request deletion of your information, where applicable

To exercise any of these rights, contact us at privacy@shinseisystems.ca. We will respond within a reasonable time and in accordance with applicable law.

If you believe we have not handled your personal information in accordance with this Privacy Policy or applicable law, you may also file a complaint with the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.

10. Safeguards

We take reasonable administrative and technical measures to protect personal information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Children's Privacy

This Site is intended for business audiences and is not directed at children. We do not knowingly collect personal information from individuals under the age of 18.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date. Continued use of the Site after changes take effect constitutes acceptance of the revised policy.

13. Privacy Principles

Shinsei's collection, use, and disclosure of personal information is guided by the ten privacy principles set out in Schedule 1 of PIPEDA: accountability, identifying purposes, consent, limiting collection, limiting use, disclosure and retention, accuracy, safeguards, openness, individual access, and providing recourse for challenging compliance. We collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances.

14. Business Transactions

If Shinsei is involved in a merger, acquisition, sale of assets, or similar business transaction, personal information may be transferred as part of that transaction, consistent with applicable law, including the business transaction provisions of PIPEDA. Any third party receiving such information will be required to use and disclose it only for the purposes for which it was originally collected.
